Purposes and Legal Basis for Processing

In accordance with Article 2(6) of the Bavarian Higher Education Act (BayHSchG), Article 4(1), sentences 1 and 2, of the Bavarian E-Government Act (BayEGovG), and Section 3(1) of the Saxon Data Protection Implementation Act (SächsDSDG), we provide services and administrative services on our websites, as well as information to the public about our activities.

Our social media presence forms part of our public relations work. Our aim is to provide information tailored to specific target groups and to engage in dialogue with you, in accordance with Article 2(6) BayHSchG and Section 3(1) SächsDSDG.

 

Data Categories

Administration and Editing

For administration and editorial purposes, functional identifiers and personal identifiers protected by access control mechanisms are created, and any changes made using these identifiers are logged.

 

Log Files

When you visit this or other websites, your internet browser transmits data to our web server. The following data is recorded during an active connection between your browser and our web server:

  • Date and time of access

  • Name of the requested file

  • Page from which the file was requested

  • Access status (e.g., file transferred, file not found)

  • Web browser and screen resolution, as well as operating system used

  • Full IP address of the requesting computer

  • Amount of data transferred

 

Communication

If you contact us by email, contact form, post, telephone, fax, or social media with a request or opinion, the information you provide will be processed for the purpose of handling your request, for possible follow-up questions, and for the exchange of opinions. Unless you request otherwise, we will use the same communication channel for our response.

 

Recipients or Categories of Recipients of Personal Data

If you use our social media channels and pages, their providers will also process your personal data.

Our IT service providers may also be recipients of your personal data within the scope of the data processing agreements concluded with them. However, in order to ensure the security of our data processing systems, we do not disclose the identities of these service providers.

Our social media providers and their controlling owners are certified under the EU–US Privacy Shield and are publicly listed, ensuring an adequate level of legal protection for personal data:

 

Duration of Storage of Personal Data

Administration und Editing

Personalized administrative and editorial access to our website will be restricted once the person concerned leaves ctd.qmat and will be deleted one year after the end of the year in which the person left.

 

Log Files

As a rule, personal data is stored for a maximum of thirty days.

 

Communication

Emails, data from contact forms, fax messages, notes of telephone calls, postal correspondence, and social media posts and messages that you have not made public are reviewed every two years to determine whether further storage is necessary for follow-up purposes. If the data is no longer required, processing will be restricted and the data will be retained in accordance with statutory retention obligations, taking into account archival law.

 

If you have communicated with us publicly or shared information with us via social media or a public comment function, you may decide how long the information remains published or request its deletion. We will delete such data within our area of responsibility in accordance with archival law. If copies of the data remain after deletion, their processing will be restricted and they will be retained in accordance with statutory retention obligations, taking into account archival law.

 

Your Rights as a Data Subject 

General

Under the General Data Protection Regulation (GDPR), you have the following rights: 

  • If your personal data is processed, you have the right to obtain information about the data stored about you (Article 15 GDPR).
  • If inaccurate personal data is processed, you have the right to request rectification (Article 16 GDPR).
  • If the statutory requirements are met, you may request erasure or restriction of processing and object to processing (Articles 17, 18, and 21 GDPR).
  • If data processing is based on your consent or on a contract with us and is carried out by automated means, you may have the right to data portability (Article 20 GDPR).
  • If you exercise any of the above rights, we will examine whether the statutory requirements have been met.
  • You also have the right to lodge a complaint with the Bavarian State Commissioner for Data Protection.

 

Right of Withdrawal

If the processing of your data is based on your consent, you may withdraw your consent at any time without affecting the lawfulness of processing carried out on the basis of your consent prior to withdrawal.

 

Right to Object

Pursuant to Article 21 GDPR, you have the right to object at any time, on grounds relating to your particular situation, to the processing of personal data concerning you which is carried out, inter alia, on the basis of Article 6(1)(e) GDPR. We will then cease processing your personal data unless we can demonstrate compelling legitimate grounds for processing that override your interests, rights, and freedoms, or unless the processing serves the assertion, exercise, or defense of legal claims.

 

Other Information about our Privacy Policy

We reserve the right to amend this Privacy Policy from time to time so that it always complies with current legal requirements or to reflect changes to our services, for example when introducing new services. The new Privacy Policy will then apply to your next visit.
